Consultation-to-Contract Rate
Also known as: close rate, win rate, conversion rate by stage
Definition
Consultation-to-contract rate is the percentage of qualified consultations that become signed construction contracts. Tracked by lead source and alongside the earlier stages, from inquiry to consultation and consultation to proposal, it shows whether a builder's growth problem is in marketing, follow-up, or sales.
For custom home builders
Lead counts alone cannot tell a builder what is broken. Stage-by-stage conversion rates can. Track what percentage of inquiries become consultations, what percentage of consultations become proposals, and what percentage of proposals become signed contracts.
The pattern points to the fix. Leads that never book a consultation point to a follow-up or qualification problem. Proposals that never sign point to a sales, pricing, or positioning problem. Comparing close rate by lead type, such as referral, organic search, and paid, shows which channels bring buyers instead of browsers. Referrals typically close faster and are more tolerant of premium pricing, which is why they should be measured rather than assumed.
How to measure and improve it
- Define each stage clearly in your CRM: inquiry, qualified, consultation held, proposal delivered, contract signed.
- Calculate the rate between each pair of stages, not just overall.
- Break it out by lead source.
- Review quarterly. Volumes are small, so monthly rates swing too much to read.
- Fix the weakest stage first.
Frequently asked questions
What is a good close rate for a custom home builder?
It varies widely by market, price point, and how well leads are qualified before the consultation, so a generic benchmark is not very useful. Track your own rate by lead source and stage, and improve the weakest stage.
How can a builder tell whether the problem is marketing or sales?
Look at conversion between stages. If leads rarely become consultations, the issue is follow-up or qualification. If consultations and proposals rarely become contracts, the issue is sales, pricing, or positioning.
Do referral leads close better than marketing leads?
Often they close faster and with less price resistance, but the only way to know for your business is to track close rate by lead type, including referral, organic, and paid.
